Privacy Policy

This policy explains what Anahita collects, why, and what you can ask us to do with it. Anahita is run by 3S Holding OÜ, Tartu, Estonia, which is the controller of your personal data. You can reach us at shb@3sholding.com.
What we collect
- Your account. Your name and email address and, if you sign in with Google, your Google account ID. If you choose a password, we store only a secure hash of it, never the password itself.
- Your survey requests. The topic, description and time period you enter, and the authors you list with their names, affiliations and, where given, email addresses.
- Your surveys. The finished survey and its PDF, Word and LaTeX files, so that you can open and download them again under Your surveys.
- Payments. Card details go straight to Stripe and never reach us. We keep the amount, the date, the Stripe reference and whether the payment has been used for a survey.
- Security. To slow down password guessing, we briefly keep the IP address of sign-in attempts in memory. It is not written to our database.
How your request is processed
To compose your survey, your topic and description are sent to the language models of xAI, Google and OpenAI, together with the titles and abstracts of the papers found. Search queries derived from your topic are sent to OpenAlex and arXiv, two public scholarly databases. The authors you list are never sent to any of these services; they are used only to print the author block of your survey.
Please list other people as authors only with their agreement.
Why we use it
- To provide your account, compose your surveys and keep them available to you (performance of a contract).
- To keep the service secure and prevent abuse (our legitimate interests).
- To keep payment records for accounting and tax (a legal obligation).
Cookies and local storage
We use one cookie, which keeps you signed in. Your browser also keeps the survey you are currently following and, while you pay, the details you entered, so that nothing is lost on the way to Stripe and back. We use no analytics, advertising or tracking cookies.
Who we share it with
We use trusted providers that process data on our behalf: Render (hosting, in the European Union), xAI, Google and OpenAI (language models), Stripe (payments and tax), and Google (sign-in with Google and the delivery of password-reset emails). OpenAlex and arXiv receive only search queries. Some of these providers are outside the European Economic Area. Where that is the case, transfers rely on the European Commission's standard contractual clauses or an adequacy decision. We never sell your data.
How long we keep it
Your account and your surveys stay until you ask us to delete them. Payment records are kept for seven years, as Estonian accounting law requires.
Your rights
You may ask for a copy of your data, its correction or deletion, a portable copy, or object to how we use it. Write to shb@3sholding.com from the email address on your account. You may also complain to the Estonian Data Protection Inspectorate (Andmekaitse Inspektsioon, aki.ee).
Changes
If we change this policy, we will update the date above. We will tell account holders about significant changes.
